Policy on the Protection of Personal Information
At ANA Catering Service Co., Ltd. (hereinafter referred to as the Company), we recognize the importance of our customers' personal information received through our business as it is essential in order for us to provide fully satisfactory services to them. Thus, we consider it our social responsibility to protect such information.
The Company sets forth its policy on personal information protection as follows and will abide by and maintain it.
Collection and Use of Personal Information
In collecting personal information, the Company clarifies the purpose and acquires such information to the extent of such purpose. In addition, the Company will use such personal information only for the intended purpose.
Management and Protection of Personal Information
The Company will manage personal information carefully and will not disclose or provide personal customer information to any third parties except in cases where consent is obtained from customers. In addition, the Company will take appropriate preventive and corrective measures to prevent unauthorized access to or loss, destruction, alteration, or leakage of personal information.
Governing Laws and Others
The Company will comply with laws and other regulations applicable to personal information.
Continuous Improvement of the System and Functions for Management of the Protection of Personal Information
The Company will strive to continuously improve the system and functions for management concerning the protection of personal information.

Chapter 1. Handling of Personal Information of All Customers

1. Scope of application
The Privacy Policy will apply when customers use the Company's services and products.
2. Purpose of using personal information
However, even within the intended scope, the Company will not use customers’ personal information in a way that may encourage or induce illegal or improper conduct.
  • (1) Shipment of products and materials handled at the Company's online shops
  • (2) Shipment of products and materials handled at the Company's physical shops
  • (3) Provision of after-services and related information in connection with (1) and (2) above
  • (4) Settlement for products sold by the Company
  • (5) Provision of information concerning other products and services offered by the Company
  • (6) Acceptance of reservations/applications, and communication regarding products and services offered by the Company
  • (7) Guidance concerning various events and campaigns and shipment of giveaways
  • (8) Implementation of questionnaires concerning products and services, etc., offered by the Company
  • (10) Response to inquiries or requests
In the case of any changes to the purposes mentioned in the above, the Company will notify its customers to that effect in writing, announce such changes on its website, or use other methods.
3. Acquisition of personal information
The Company will acquire customers' personal information by fair and appropriate means.
As a rule, the Company acquires personal information by the volition of the customer. Customers may experience disadvantages if they refuse to provide their personal information, such as being unable to make use of the various services provided by Company.
4. Disclosure and provision of information to a third party
The Company will not disclose or provide customers’ personal information to any third parties except under the following circumstances. Additionally, customers' personal information that contains sensitive information will not be disclosed or provided to third parties under any circumstances, unless allowed by laws and regulations or the customer consents. Note that the provision of information to data-sharing partners and outsourcee companies is not deemed to constitute disclosure or provision to third parties.
  • (1) Customer consent has been obtained in advance.
  • (2) Information such as statistical data is disclosed or provided in a format that does not disclose the customer's identity.
  • (3) Disclosure or provision is required by laws or regulations.
  • (4) Disclosure is required to protect human life, person, or property in cases where obtaining customer consent is difficult.
  • (5) Disclosure is required to cooperate in the public affairs of national or local governments, and obtaining customer consent is likely to hinder the administration of public affairs.
  • (6) Personal information is provided as a result of the succession of a business due to a merger, company split, business transfer or other reasons.
  • (7) Personal information is provided in accordance with procedures pursuant to laws and regulations, provided that the customer is able to easily confirm the following information in advance on the Company website, etc., and has no intention of refusing to provide the personal information.
    • 1) Purpose of use is provision to a third party.
    • 2) Items of personal data to be provided to a third party
    • 3) Means or method of provision to a third party
    • 4) Provision to a third party will be discontinued at customer's request.

5. Entrustment of personal information
The Company may entrust customers’ personal information to the Company’s outsourcee companies or contractors to the extent required to achieve the purpose of use specified in 2. Purpose of using personal information. In such case, the Company will appropriately select the party to whom such personal information is to be entrusted in the course of business, establish clear agreements on duties, responsibilities and the handling of such personal information, and conduct appropriate supervision so that the provided personal information is managed safely.
6. Data-sharing concerning personal information
The Company shall share personal customer information as follows.

Purpose of use by the user:
  • (1)For provision of air transportation services, travel services including tours and hotels, and other products/services handled by the Company or companies that share data
  • (2) For sending of direct mail and information on products/services, and distribution of questionnaires to customers, etc. by the Company or companies that share data
  • (3)For sales analysis, other research/studies, and development of new products/services, etc. by the Company or companies that share data
  • (4)For delivery and transfer of data to each company in charge, when we receive inquiries, application for use or other offers from customers regarding products/services provided by the Company or companies that share data
  • (5)For appropriate and smooth fulfillment of other transactions with customers by the Company or companies that share data
  • (6)For business management/internal management by the ANA Group

Items of personal information to be shared:Name, date of birth, address, telephone number, email address, place of employment, gender, details of transaction, etc.

7. Transfer to outside of Japan
If the Company provides customers' personal information to third party business operators outside of Japan, including outsourcee companies and data-sharing partners, it will do so based on customer consent, except in either of the following cases:
  • (1) When the third party is located in a country specified by laws and regulations as one that has a personal information protection system equivalent to Japan’s; or
  • (2) When the third party has a system in place where it can continuously take measures corresponding to those that business operators handling personal information in Japan should take
In the case of (2) above, the Company will take necessary and appropriate measures to ensure that the third party takes the corresponding measures on an ongoing basis. If you wish to know the details of our measures, please make a request in accordance with “9. Disclosure, correction, deletion, discontinuance or erasure of or addition to a customer's personal information”.
8. Management of personal information
The Company appropriately manages customers’ personal information, and takes the necessary safety management measures to prevent leaks, loss, or alterations, etc. The Company ensures that the board members and employees are properly trained regarding protection and appropriate handling of customers’ personal information. An appropriate retention period for personal information will be established in accordance with the purpose for which such information is used. After the purpose of the information has been achieved, the Company will dispose of the information in question by appropriate methods. If you wish to know the details of the safety management measures, please make a request in accordance with “9. Disclosure, correction, deletion, discontinuance or erasure of or addition to a customer's personal information”.
9. Disclosure, correction, deletion, discontinuance or erasure of or addition to a customer's personal information
If the Company receives a request from a customer for the disclosure, correction, deletion, addition, discontinuance, erasure, or information provision concerning the personal information protection measures referred to in “7. Transfer to outside of Japan” and “8. Management of personal information” (“Disclosure, etc.”) with regard to the customer's personal data retained by the Company, the request will be handled within a reasonable time frame and scope, after confirming that the request was submitted by the customer himself/herself
  • ・If the Company has received a request for information provision concerning personal information protection measures, the following information will be provided in accordance with the customer’s request:
    • (1) Details of the safety management measures taken by the Company in receiving customers’ personal information; and
    • (2) Details of the measures taken by the Company when providing customers’ personal information to third parties outside of Japan (in the case of “7. Transfer to outside of Japan” (2))
  • ・If we receive a request for correction, deletion or addition, we will investigate the details of the request and make corrections.
  • ・If we receive a request for discontinuance or erasure, we will discontinue its use or delete it after examining the details of the request. (Please note that such requests may impede the provision of services that are in accordance with the customer’s wishes.) However, if there is a risk that the life, health, or property of a customer or a third party would be harmed, if there would be a significant hindrance to the execution of the Company's business, if there would be a violation of other laws and regulations, or if there would be a significant hindrance to personal information security management measures, the Company may deny the request in whole or in part.
10. Submission of request for disclosure, etc. and inquiries

    For inquiries about your personal information, please contact the inquiry desk stated in the catalog or website you used. A request for disclosure, etc. will be made in the following manner. Please send a form specified by the Company, necessary documents, handling fee, and return envelope to the following address by post.

    For a “request for disclosure, etc.", please send the following (A) through (D) by post. Please note that the Company may not be able to fulfill a customer’s requests for disclosure, etc., when there is missing information, incomplete documentation, insufficient fees, or other problems.

      • <For a request by a legal representative (a person with parental authority/guardian) for disclosure, etc.>
      • ・A document that certifies that the person is the legal representative of the individual (copy of family register or residence certificate, etc.)
      • ・Documents to identify the legal representative (copies of two of the following: driver's license, health insurance certificate, pension insurance booklet, passport, basic resident registration card with face photo, or other certificates)
      • <For a request by a representative for disclosure, etc.>
      • ・Power of attorney stating that the person is the representative (the registered personal seal of the person requesting disclosure, etc. must be affixed)
      • ・Certificate of seal impression of the person requesting disclosure, etc.
      • ・Documents to identify the representative (copies of two of the following: driver's license, health insurance certificate, pension insurance booklet, passport, basic resident registration card with face photo, or other certificates)
    • (C) Disclosure fee: 500 yen (postage stamp equivalent to the fee)
    • (D) Return envelope
  • (4) Others
    If we receive a request for disclosure, etc., it may take some time before it is reflected in all services. In such case, please note that you may receive from the Company various information based on the information before reflection.
11. Modification of the Privacy Policy
The Company may make modifications to this Privacy Policy at any time.
If modifications are made, details will be posted on the Company's website, so please be sure to read carefully the content of any changes that have been made.
